Stock

Know what is on the shelf, and what expires first.

Staff scan a barcode with their phone to log stock in and out. Expiry dates, par levels and a close at the end of the day, with no notebook.

  • Phone camera barcode scanning
  • First expiry, first out
  • Daily and weekly reports

Stock lives in a notebook.

Things expire at the back of the fridge, and nobody can say what was used and what was thrown away.

How it works

  1. 1

    Scan the barcode

The phone’s camera reads it. An unknown barcode suggests a name from a free public database. Items without a barcode get a printable label.

  2. 2

    Log it in

Quantity, expiry date, supplier and, for chilled and frozen food, the arrival temperature. A warm delivery has to be confirmed, and an expired one is refused.

  3. 3

    Take it out

Mark it used or wasted. The soonest expiry always goes first, across every batch.

  4. 4

    Close the day

The day’s Outs are checked and the day is closed. Only the owner can reopen it.

What you see

The owner’s Stock page opens on what needs you today.

  • What is expiring this week and what is at or below its par level
  • Every product with its deliveries, and the full log
  • A stock section in your daily report: in, used, wasted, to reorder
  • A weekly usage report by email, Monday 08:00 unless you choose another day and hour

The board refreshes every five seconds. It refuses overlaps, days off and anyone over their limit.

The details

  • Fix and count

Correct a delivery with a reason, or count what is really on the shelf.

  • Two phones, one count

Two phones can never take the same stock twice, and a retry after a dropped connection is recorded once.

  • Works with the till

If the same barcode is in your Till, a sale takes it out of stock, soonest expiry first.

What it does not do

  • Suggested names come from a free public database (only the barcode is sent) and may need your correction.
  • It does not order from suppliers. It tells you what is low.
  • Staff scan with the phone’s camera, so the browser needs permission to use it.

Questions

Which staff can change stock?

Only staff you give stock access to. Managers can see it. Each change records who made it and when.

What if a phone loses signal in the middle of a scan?

A retry after a dropped connection is recorded once, never twice.

Does it work without the till?

Yes. Stock stands alone. If you also use the Till, sales take items out automatically.
