Scheduling
Staff pick their own shifts. The system keeps it fair.
You set the shifts and how many people each job needs. Staff pick on their phones, swap with approval, and clock in by tapping a plaque.
- Staff pick shifts on a live board
- Swaps need an approver
- Clock in by tapping a plaque
The schedule lives in a group chat.
Swaps get lost in the scroll, and nobody can say who really showed up.
How it works
- 1
You define the shifts
Recurring shifts, like Morning 08:00 to 14:00, and how many of each job role you need per weekday.
- 2
Staff pick on a live board
The board refreshes every five seconds. It refuses overlaps, days off and anyone over their limit, so two people can never take the last slot.
- 3
Automatic assignment fills the rest
When picking closes, the remaining slots are filled fairly, starting with whoever is furthest from their days.
- 4
Clock in with a tap
An NFC tag at the staff entrance opens the clock in page. If you want, the phone must be on site for it to count.
What you see
Scheduled against clocked, per person.
- Hours per person, with late, left early and missing clock outs flagged
- Every clock event, and corrections with who made them and why
- A CSV of hours for your payroll
- Swap and give away requests waiting for approval
- A staff section in your daily report

The details
Swaps and giving shifts away
Between colleagues in the same job role. The colleague accepts, then an approver signs off. Limits are checked again at approval.
Days off
Staff mark them before that day’s picking closes.
Exactly the permissions they need
Stock, approving swaps, the rewards code, the till, and job roles. A deactivated person is locked out at once.
Notifications
Staff see updates inside the app. The staff app is built for phones.
What it does not do
- It is a schedule and a time clock, not payroll. You get hours and a CSV to take to yours.
- If you require the phone to be on site, staff must allow location when they clock in.
- The staff app is in English today.
Questions
What if someone forgets to clock out?
It is closed automatically and flagged, and you can correct the time with a reason.
Can staff swap with anyone?
Only colleagues in the same job role, and an approver has to sign off.
Do staff need an email address?
Staff sign in with an account you create. An owner can reset a password for staff who have no real inbox.
